Terms of Service
1. Overview
Snapshot Memories provides physical-to-digital conversion services including:
Photo scanning (loose photos and albums)
35mm slide scanning (mounted and unmounted)
35mm negative scanning
Polaroids and photographic prints
Manual scanning for fragile or non-standard items
CD/DVD Digitisation (conversion of discs to digital files)
Optional image enhancement and restoration services
We do not provide printing services.
By using our services, you agree to these Terms of Service.
2. Definitions
For the purpose of these Terms:
Loose Photos
Photographs with no backing, adhesive, or album attachment. Must be physically separate and free of residue.
Manual Scans
Items requiring individual handling due to adhesive, backing, fragility, or size constraints, including:
Photos with adhesive or backing material
Photos smaller than 5 × 5 cm
Irregular shapes
Newspaper clippings
Fragile or damaged materials requiring flatbed scanning
Slide-in / Loose-leaf Albums
Albums where photos are stored in pockets or sleeves and can be removed without adhesive or damage.
Sticky-backed Albums
Albums where photos are directly attached to pages using adhesive, glue, or similar bonding methods, including magnetic-style albums and plastic-sealed adhesive pages.
Negatives & Slides
35mm photographic film negatives and 35mm mounted slides suitable for scanning.
CD/DVD Digitisation
Conversion of CDs and DVDs into digital files by copying disc contents in their original form where possible.
Service Fee
A mandatory fee applied to all orders covering digital delivery and 6 months secure storage of files.
3. Pricing & Minimum Order
All pricing is available on our website or provided in written quotes prior to commencement of work.
A minimum order value of $99 applies to all jobs.
All pricing is per photo/frame/disc.
We reserve the right to assess and confirm pricing upon inspection of materials where necessary.
4. Photo Scanning Conditions
Loose photos must:
Be free of backing or adhesive
Be no larger than A4 size
Items outside these conditions will be classified as manual scans.
We are not able to process items larger than A4.
We are not responsible for damage caused during necessary handling, including:
Removal of photos from albums
Separation of framed photographs
Handling of fragile or aged adhesive materials
Customers acknowledge that some materials may require physical manipulation during processing.
We will scan all photos within these terms provided. Were obvious, we will skip duplicate photos.
5. Albums
Depending on album type, photos may be scanned in-situ or the photos may be removed and returned. We do not guarantee that photos will be returned in the exact order or placement but we will make our best efforts to do so.
Customers may choose to leave photos in albums or remove them prior to submission. This is a personal choice based on convenience versus cost.
If album type is unclear, it will be assessed upon inspection.
6. CD/DVD Digitisation
Content is copied in its original form where possible.
No modification or reformatting beyond extraction is performed.
Blank discs are not charged.
7. Photo Enhancement
Enhancement and restoration services are optional.
We do not guarantee enhancement outcomes.
All items are first scanned, then assessed before quoting any enhancement work.
Where requested:
We will provide a quote prior to commencing enhancement
Clients may approve or decline additional work
8. Service Fee (Digital Delivery & Storage)
All orders include a mandatory Service Fee.
This fee includes:
Secure digital delivery of all files
Access to a download link for 6 months from completion
Secure cloud storage during this period
After 6 months:
Download links will expire
Files may be retained in archived storage
Continued access is not guaranteed but may be available upon request
9. Turnaround Time
Most orders under 1,000 photos are completed within 1-3 business days.
Where orders are expected to exceed this timeframe, we will communicate this during or shortly after intake.
10. Payment Terms
Upon completion of your order, we will issue an invoice online via Xero.
Payment is required within 7 days of the invoice date unless otherwise agreed in writing.
We reserve the right to follow up on overdue invoices and may pause or decline future work until outstanding balances are resolved.
All pricing is in AUD.
11. Delivery & Return of Items
Customers may:
Drop off items at our Docklands location, or
Send items via courier from anywhere in Australia
We do not offer pickup services.
If customers choose not to collect their physical items, return delivery can be arranged via:
Australia Post (charged to customer based on size, weight, and location)
Uber or similar courier services (charged to customer)
Risk transfers to the customer once items are handed to the postal or courier service.
12. Abandoned Items
All customer materials remain the property of the customer.
Items not collected or for which no return arrangement has been made will be securely stored for 3 months after completion.
After this period, items may be considered abandoned and may be securely disposed of.
We will make reasonable attempts to contact the customer prior to disposal.
13. Quality Assurance
We take care to deliver high-quality digitisation services appropriate to the condition of the original materials provided.
If you are not satisfied with your digital files, you must notify us within 7 days of receiving your download link.
Within this period, we may:
Re-scan items where appropriate
Review output quality
Provide clarification regarding expected results based on original condition
After 7 days, files are considered accepted.
This does not limit your rights under Australian Consumer Law.
14. Privacy
Your privacy is important to us. Snapshot Memories handles all personal information in accordance with our Privacy Policy.
All customer materials are treated as private and confidential, including photos, negatives, slides, videos, and digital files.
We do not sell, share, publish, or use customer materials for marketing purposes without explicit consent.
We may use trusted third-party providers for payment processing, cloud storage, email communication, accounting, website hosting, and file delivery services.
15. Intellectual Property
All original materials remain the property of the customer or respective rights holder at all times.
All digital reproductions and enhancements become the property of the customer upon full payment for services rendered.
Snapshot Memories does not claim ownership over customer content.
16. Limitation of Liability
We take reasonable care in handling all materials.
However, we are not liable for:
Pre-existing damage or deterioration
Fragile items breaking during necessary handling
Damage resulting from removal from albums or frames
Loss or degradation caused by inherent material fragility
Customers acknowledge that some items require physical handling during processing.
17. Changes to Terms
We may update or modify these Terms at any time.
The most current version will be published on our website and takes effect immediately upon publication.
Continued use of our services constitutes acceptance of updated Terms.
18. Governing Law
These Terms are governed by the laws of Victoria, Australia.
Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
